The System Status data edit form

The "Status" system-table is used to hold data to create lists to help categorize data in your App.
Lists of options for are stored in the "Status" system-table, providing choices for users to pick from. If you have adequate security, you can add and edit these lists.

Status Records are similar to "Types" records, in that they are shared across all the records for a BusinessObject, and aid categorization. They are a bit more complex because they offer the opportunity to order records, with a "LogicalOrder" column. 
The StatusID field concept is usually used in Orixa to control stages through which a record moves. For example a Product record shifting from "Trial" to "Actively On Sale", or a Customer moving from "Active" to "On Hold".
The Status system-fable also includes a "Color" field to hold a colour-per-status. This allows colour-coding of different parts of your App, which can make it more user-friendly.


Often your App may use the Status of records in a BusinessObject to control behaviour. For example Products with a Status of "Trial" may be excluded from a list of Products to pick for sale, or the Status if Sales records can be used to control viewing data in a . The exact function of each StatusID in each BusinessObject will be particular to the system.  

Status Look-up List 

An example types look-up list, with data for different choices relating to the possible Status of Organisations in an App.

Note that this list is fairly short. It is a good idea to try to keep the numbers of choices to a sensible, small number.

To open the "Status" data-edit window to view or edit the values in the table, click on the "View" button, shown in the image. 

Note that the ability to edit Status data can be limited so that only staff with a high enough security level can make these changes.

 

Status Lookup Colour change  

Note that different Status's for any record reflect into the colour shown for the status field. In the image above the work-item is "WorkItem Complete" so it is shown in grey. In the image on the left, the status is "Work Planned" which is shown in gold.

 

USE "Status" colours to provide emphasis of the status in your App. Colours selected for the status will pull through to other parts of the user interface, allowing users to "read" the status of records just by looking at their colour.

 

Status Edit Form

You update the main value shown in the look-up list by editing the "Name" field.

Note that the Status system-table has a LinkTable field to link it to a specific data-table, Name and Description fields and also a "LogicalOrder" field, which is a number (shown at 1.). This is useful to creating ordering of Status records. This means you can use the "StatusID" as a way of moving data through stages or steps within your system.

The Status record also has a "Color" field (shown at 2.) for settings colours.

You can add and delete records in the the Status edit form in exactly the same way as in any other edit window in the system, provided you have an adequate security level.

Once you have updated the value, all records that used the old value will be updated to show the new value.

Once you add new records to the Status data-table, you will need to refresh the list in the original Edit Form to see the newly added or edited values.

 

A Special Feature of Business Objects with Status: Capability of integration with the Kanban Board

It is often useful to see records in an App grouped by their status. For example Production Batches in a factory may be in "Planning", "Preparation" "Production" or "Quality Checking" Status. A visual interface which shows records grouped by these statuses can be very useful.

Orixa adds this functionality with a Kanban Board object. This can be added simply by adding a Resource to your App. More information on Kanban Boards, how they work and how to use them have been added under other topics in this Help system.

Status Kanban Board  

  1. Track the Status of "WorkItems", as they move from "Planned" to "Agreed", "Working/Underway" and other Statuses. This allows staff to keep track of work-flow in their business.  
  2. You can click on any item to view its Edit Form. You can click-and-drag any item to move it between two status windows.
  3. Note that each Status Window has a summary panel which displays data for the currently selected item. This can be useful for guaging progress made on each item.

 

The top part of the above image shows a "data cube", which shares space in the "Work Items Dashboard" with the Kanban board. Dashboards can contain multiple elements in Orixa.

Use of the Status Colour in your App

Colour Reflected to the Colour of an Item in the "Daily Activity" View  

The above image shows a "Daily Activity" Worksurface. All the colours shown relate to the Status of the records being displayed, so the user can immediately see those things which are completed, and those things which require immediate attention

The above image shows a View Grid with items coloured according to the Status Colour. Note that this feature can be added or removed to different View-Grids as needed, so strong colours do not always have to be shown. The image above shows a particularly wide range of colours.
