Assigning Stock to an Invoice 

When goods are dispatched to a customer using EESys, warehouse staff must include a link to the Stock Purchase Item when they are completing the Invoice.
This is to ensure that traceability is maintained, and stock is well-managed.

EESys shows possible items that warehouse staff may pick from in a list on the Edit-Form. Details of how this works should be understood by staff so they always enter data correctly.

Picking a "StockPurchaseItemsID"

Stock Purchase Items Drop-down-list in SalesInvoiceItems  

1. The SalesInvoiceItems Edit Form is opened, with the SalesInvoice and Products details already chosen.
2. The staff member activates the Drop-down list by clicking on the "down arrow."
3. In the list exhausted stock items are listed starting "zzz/", these items should not be chosen, but are included in case mistakes have been made, so staff can see all possible entries.
4. The list includes all items of stock, including stock not in the current location. Staff should only pick stock from their current location. Items at other locations are included so staff can be aware of other stock which could be called down if needed.
5. The list includes the "BBDate" and "OID" to identify the specific deliveries of stock, these details should be present on printed labels on the stock.
6. The list details the original Quantity ordered / received, and the Residual amount which has not yet been dispatched. These quantities should exactly match the amounts staff find on the shelves. If they do not, staff should check what has happened.

Useful linkages in the StockPurchaseItems Edit Form

Once a StockPurchaseItem is selected from the list, staff can view details of the record by clicking the "View" button. This opens an Edit Form for the StockPurchaseItem, allowing staff to review it. From here they can see other useful information.

1. The Quantity Received and Quantity Used are immediately visible, giving staff an idea of the quantities of stock for this item.
2. Staff can review the specific places where the stock has been used. Click on any of these choices and linked data will be displayed in a grid.

EESys StockPurchaseItem Usage Dashboard  

To help summarize the ways a particular StockPurchaseItem has been used, a Dashboard has been added to EESys. This gives total Quantity Used in each usage of the paricular item, and allows the user to view the linked record if they double click on any row in the grid.

1. Click here to activate the Dashboard.
2. Date of usage.
3. Details of usage, with Customer Name or other details for other types of usage.
4. Quantity used.
